What information we collect
Only what you type into the form:
- your name, email address and phone number;
- the service you want, the number of bedrooms, and whether the property has a conservatory, Velux windows or interior windows to clean;
- your postcode;
- anything you write in "Other requests";
- the date and time you sent the form and ticked the agreement box, and which version of this policy was shown. We keep this as proof of your consent.
We also give each enquiry a reference such as ECS-0001. We do not ask for card or bank details, so please do not put them in the form.
To limit spam, the server briefly counts how many times one internet connection has sent the form. It does this using a scrambled (hashed) version of the connection address, which is not kept with your enquiry and expires within minutes. This site sets no cookies and has no advertising or analytics trackers.
Why we use it, and our lawful basis
| Purpose | Lawful basis (UK GDPR Article 6) |
|---|---|
| Reply to your enquiry and prepare a quote | Your consent (Article 6(1)(a)), given by ticking the box on the form. Where you ask us to take steps before agreeing a job, this is also needed to enter into a contract with you (Article 6(1)(b)). |
| Carry out and invoice a job you accept | Contract (Article 6(1)(b)) |
| Keep records the law requires, such as accounts | Legal obligation (Article 6(1)(c)) |
| Stop spam and keep the form secure | Legitimate interests (Article 6(1)(f)): keeping the service working |
We do not use your details for marketing unless you separately agree to that. We do not sell your information, and we do not make automated decisions about you.
Who we share it with
We use a small number of service providers ("processors") who handle information only on our instructions:
- Website hosting and storage: Cloudflare, Inc. hosts this form and stores submissions. Cloudflare may process data outside the UK; it relies on approved transfer safeguards. [to confirm: hosting provider in use once the form goes live]
- Email: if a notification email is switched on, it is sent through an email service [to confirm: which service]. Replies to you come from Microsoft Outlook.
We may also share information where the law requires it. We do not share it with anyone else.
How long we keep it
These periods are our proposal and need confirming by the owner:
- Enquiries that do not become a job: [to confirm: 12 months proposed] after the enquiry, then deleted.
- Jobs and invoices: 6 years after the end of the tax year, because of accounting rules.
- Proof of consent: kept for as long as we keep the enquiry it relates to.
Your rights
Under UK data protection law you can ask us to:
- tell you what we hold about you and give you a copy;
- correct anything that is wrong;
- delete your information;
- restrict how we use it, or object to a use based on legitimate interests;
- give you your information in a portable format.
You can withdraw your consent at any time by emailing or phoning Tony using the details above. This does not affect anything we did before you withdrew. Please quote your reference (for example ECS-0001) so we can find your enquiry. We aim to reply within one month.
Complaints
If you are unhappy with how we have used your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO): ico.org.uk/make-a-complaint, or call 0303 123 1113.
Changes to this policy
If we change this policy we will update the date and version at the top of this page.
